How it works
From Roster to Signed RAMS
Add workers once
Add each worker to the roster with their name and trade. They don't get a login and don't use a seat.
Sign off the document
A manager signs off the RAMS. If it's marked high risk, a named co-signer signs too, and workers can only sign once both signatures are on.
Show the QR code
Each document has its own QR code. Print it or show it on a screen on site.
Workers scan, read and sign
They pick their name, pass the check you've chosen, read the document and sign by drawing or typing their name.
See who has signed
The document shows who was briefed, when and which check they passed. You're notified as signatures come in, and a briefing sheet goes into the PDF and Word exports.
The record
What Each Signature Records
Who signed
The worker's name and trade, saved as they were at the moment of signing.
What and when
Which document they signed and the exact time. Each worker signs each document once.
How they proved it
The check they passed: picking their name, a 4-digit PIN, or a link sent to their email address. You choose which your organisation uses.
That they read it
With a PIN or email check, whether they scrolled to the end and how long they took before signing.
Their signature
Drawn on the screen, typed, or both, as your organisation chooses.
The device
The IP address and browser are stored with each signature.
FAQ
Frequently Asked Questions
Do workers need an app or an account to sign RAMS?
No. Workers scan the QR code with their phone camera and the document opens in the browser. They're on your roster, but they don't have a login and don't use a seat.
Is signing a RAMS on a phone legally valid?
Yes. Electronic signatures are recognised in UK law, and no regulation says a RAMS briefing has to be signed on paper. What matters is being able to show who was briefed on which document and when, which the sign-off record gives you.
What if a worker doesn't have a smartphone?
Print the paper sign-off sheet from the document and have them sign that. It's on every plan.
Which documents can workers sign?
Every document type in swiftRMS: RAMS, COSHH assessments, Safe Systems of Work, Construction Phase Plans, manual handling and HAVs assessments.
How many workers can sign?
Business includes 50 workers. Enterprise starts at 100. Workers don't count towards your user seats.
Can I try it before I buy Business?
Yes. The 14-day free trial includes 3 workers, so you can add a small crew and have them sign a real RAMS on site. No card needed.
