1. About This Policy
This Cookie Policy explains how SwiftRMS Ltd (“we”, “our”, or “us”) uses cookies and similar technologies on our website (swiftrms.co.uk) and application (app.swiftrms.co.uk). It applies alongside our Privacy Policy and complies with the Privacy and Electronic Communications Regulations 2003 (PECR) and UK GDPR.
2. What Are Cookies?
Cookies are small text files stored on your device when you visit a website. They help us remember your preferences, keep you logged in, and understand how you use our platform. Some cookies are set by us (first-party), while others are set by services we use (third-party).
3. Cookies We Use
Essential Cookies (Always Active)
These are strictly necessary for the Service to function. They cannot be disabled.
| Provider | Purpose | Duration |
|---|---|---|
| Supabase | Authentication and session management | Session / 1 year |
Analytics Cookies (Consent Required)
These cookies help us understand how visitors use our platform so we can improve the experience. They are blocked by default and only activated when you give consent via our cookie banner.
| Provider | Purpose | Used On | Duration |
|---|---|---|---|
| PostHog | Product analytics — feature usage, page views | App | 1 year |
| Sentry | Session replays for debugging user-reported issues | App | Session |
| Google Analytics (GA4) | Website traffic analysis | App & Marketing site | 2 years |
Note: Sentry also provides basic error tracking (crash reports, error stack traces) under our legitimate interest in maintaining service reliability. This does not require consent and does not set cookies — only session replays are consent-dependent.
Cookieless Analytics (Always Active)
These services collect basic page metrics without setting cookies or collecting personally identifiable information.
| Provider | Purpose | Used On |
|---|---|---|
| Vercel Analytics | Basic page performance metrics (no cookies, no PII) | Marketing site |
4. How We Obtain Consent
When you first visit our website or app, you will see a cookie banner that gives you the choice to accept or decline non-essential cookies.
- If you accept: Analytics cookies (PostHog, Sentry session replays, GA4) are activated.
- If you decline: Only essential cookies and cookieless analytics are used. No tracking cookies are set.
Your preference is stored locally on your device. Analytics tools are configured to be opt-out by default — they do not collect data until you actively consent.
On the marketing site, Google Analytics uses Google Consent Mode v2, which means analytics_storage is set to denied by default and only updated to granted when you accept cookies.
5. Managing Your Preferences
You can change your cookie preferences at any time:
- In the app: Go to Settings → Privacy & Data to toggle analytics on or off.
- In your browser: Most browsers allow you to block or delete cookies through their settings. Note that disabling essential cookies will prevent you from using SwiftRMS, as authentication depends on them.
- Clear existing cookies: You can clear all cookies set by SwiftRMS by clearing your browser’s site data for
app.swiftrms.co.ukandswiftrms.co.uk.
6. Third-Party Cookies
Some pages may embed third-party content that can set cookies. Specifically:
- Google Calendar (on our Book a Demo page) — loaded only when you explicitly click to open the booking widget. By clicking, you consent to Google processing your data per their privacy policy.
We have no control over third-party cookies. Please refer to the respective provider’s cookie and privacy policies for more information.
7. Changes to This Policy
We may update this policy to reflect changes in our practices or in response to new legal requirements. We will post the updated policy on this page with a revised “last updated” date. Material changes may be notified via our cookie banner.
